OVERVIEW

What is Careerfully?

Careerfully is a coaching platform for high school students. Their 1:1 coaching programs help young people succeed on the most competitive college applications. 

Users

The primary users are coaching professionals who run recurring sessions with high school students and need to send structured follow-ups after every session. They are time-constrained, detail-oriented, and care deeply about the quality of what gets sent to their students.

Problem

Coaches were managing their entire session workflow across four disconnected tools: Google Calendar for scheduling, Zoom and Fathom for calls and transcripts, and Notion for writing up session notes and summaries. After every session, coaches had to cross-reference platforms manually, pull out action items, verify them, and share them with students. Coaches had no central place to manage it all. As a result, they were spending too much time on post-session admin work.

DESIGN CHALLENGE

How might we give coaches a single platform to manage sessions, review AI-generated transcripts and summaries, and approve action items, so they can work more efficiently without juggling between tools?

Solution

I designed the Coach Session Dashboard and Session Detail Page, giving coaches a clear view of upcoming and past sessions, and a way to review, edit, and approve AI-generated summaries and action items before sending to students.

Research

Competitive Analysis

  • Fathom, Otter.ai, and Attiko all show the summary and the transcript side by side. One can click on any word, and it takes you directly to the transcript and loops to the video conversation. The coach can verify instantly without wondering if the AI made something up.

  • Otter.ai also lets users edit the Ai- generated summary and action items before sharing

Design Decisions

Feature #1

Prioritizing Sessions
That Needs Attention 

Coaches managing multiple sessions find it challenging to quickly identify what needs their attention first. To address this, I added a "Priority Session Banner" that highlights the coach's next upcoming session with a clear "Join Session" action. Other sessions remain muted until they are live, to avoid premature entry, while past sessions display a "Review" pill to indicate pending follow-ups.

Feature #2

Allowing Coaches to
Adjust Session Time

Session duration is automatically logged based on the scheduled meeting time, which may not always match the actual time spent. Sessions can run shorter or longer than planned, and may also include preparation or follow-up work.

To address this, we added an editable session log so coaches can adjust the duration before submitting it. This ensures the recorded time reflects the real session while supporting accurate billing and transparency for parents.

Feature #3

Curating AI-Suggested
Action Items

AI-generated action items can appear as a long list. Coaches often need to review and decide which items are most relevant to share with students after a session.

To support this, we added a drag interaction that allows coaches to move "AI-Suggested Actions" into "Approved Actions". This lets coaches quickly select the relevant items and leave the rest behind, instead of deleting irrelevant suggestions one by one from the same list.

Feature #4

Ensuring Coaches Review
Before Sending

AI-generated summaries and action items help reduce documentation time, but sending them automatically to students was never an option. Coaches need to review and confirm what gets shared.

To support this, we designed a clear workflow where coaches can edit, review, and then approve before sending. The "Approve & Send" action confirms that the coach has reviewed the summary and action items and is ready to share them with the student.

Design Handover & Stakeholder Alignment

Getting the design to a place where it was technically feasible and stakeholder-approved took several rounds of alignment that shaped our final design.

WITH DEVELOPER

During handover, the main conversation was around the editing behavior of summaries/action items on the session detail page. We decided to go with explicit "Save and Cancel" buttons rather than autosave, simpler to build, and clearer for the coach. The other design moved forward as designed.

STAKEHOLDER FEEDBACK

The feedback that came up was about the red color used for AI-suggested action items. Coaches found it alarming, whether to avoid or to consider. We changed it to black, which removed the confusion.

Qualitative Impact & Result

  • The redesigned experience launched successfully and was seamlessly adopted by coaches, giving them a single workspace to manage sessions, summaries, and follow-ups.

  • AI-assisted documentation reduced post-session administrative work while keeping the coaching workflow organized and efficient.

Next Steps

The next phase is to design an interface where AI gives coaches feedback after their sessions end, surfacing what went well and what could be improved. We will be exploring the opportunities how AI could be used to support coaches' growth.
